The KBF Process

Your Complete Journey,
Start to Finish

From your first conversation to the final walkthrough — every phase, every step, fully transparent. Here's exactly what working with Stuart KBF looks like.

Typical project: 15–18 weeks from first meeting to final walkthrough

Step 1

Initial Consultation

Your project begins with a personal appointment at our Stuart showroom. We listen first — your vision, your budget, your timeline. This is a conversation, not a sales pitch.

  • Meet your dedicated design team in person
  • Gather project scope, photos, plans & measurements
  • Explore cabinet, countertop & flooring options

To make the most of your first meeting, bring anything that helps us understand your space and vision:

  • Photos of your current space (all angles)
  • Any measurements or floor plans you have
  • Inspiration photos (Pinterest, Houzz, magazine clippings)
  • A rough sense of your budget range
  • Notes on must-haves vs. nice-to-haves
Pro tip: Don't worry if you don't have everything — our team will guide you through what we need. Just showing up is the most important step.

Step 2

Quote & Budget Proposal

We prepare a detailed budget based on your scope and design concept — transparent, no surprises. A home visit may be scheduled if measurements are needed.

  • Quote based on space measurements & design concept
  • Home visit scheduled if photos/measurements not provided
  • Quote approved & accepted — project moves forward
Delivered within 3–5 business days of consultation
To begin Phase 2: A $1,000 retainer fee is due upon quote acceptance. This secures your project on our schedule.

Your total project investment is structured across key milestones — so you're never paying for work that hasn't happened yet:

  • $1,000 retainer — due at quote acceptance to begin Phase 2
  • 60% deposit — due at contract signing (75% for countertops)
  • Progress payment — mid-project milestone
  • Final balance — due at project closing after punch list
Note: Timely approval of design and receipt of deposit are crucial to maintaining accurate pricing and lead times.

Step 3

Selections & Design Review

A dedicated showroom meeting (~3 hours) where you finalize every product selection with our design team. Every finish, fixture, and material is locked in before anything is ordered.

  • Cabinetry, countertops, flooring & tile selections
  • Plumbing fixtures, hardware & appliance finalization
  • 3D renderings & design presentation sign-off

This is one of the most exciting parts of the process. You'll sit down with your designer in our showroom and walk through every selection together:

  • Cabinet door styles, finishes & hardware
  • Countertop material, edge profile & color
  • Tile selections for floors, walls & backsplash
  • Plumbing fixtures — faucets, sinks, showers
  • Lighting & appliance coordination
Tip: Finalizing appliance selections during this phase is highly recommended — lead times can affect your overall project schedule.

Permits & Project Scheduling

We handle the permitting process on your behalf and build your full project schedule — coordinating tradesmen, deliveries, and timelines so everything runs smoothly.

  • Permit application & approval (typically ~4 weeks)
  • Full project schedule built around permit & delivery timelines
  • All products ordered & lead times confirmed
Permits typically take ~4 weeks to process

Short answer: no. We handle the entire permitting process for you as your licensed Florida contractor. Here's what happens behind the scenes:

  • We submit all permit applications to the local municipality
  • We coordinate any required inspections
  • We track approval status and update your portal
  • We use permit timing to finalize your construction schedule
Why permits matter: Permitted work protects your home's value and ensures everything is done to code. It's non-negotiable for us — and it should be for you too.
Step 5

Portal Access & Pre-Construction Walkthrough

You're invited into our interactive construction management portal — your real-time window into every phase of the build. Before work begins, your Project Manager walks through the entire plan with you in person.

  • Live schedule, plans, selections & progress photos
  • Direct communication with your project team
  • In-home pre-construction walkthrough with Project Manager

The portal is your command center throughout the entire project. You'll have 24/7 access to:

  • Your full project schedule with real-time updates
  • All product selections with photos & specs
  • Progress photos uploaded by our team
  • Approved plans and design renderings
  • Direct messaging with your Project Manager
  • Invoice history and payment milestones
No more wondering: You'll always know exactly what's happening in your home, even when you're not there.

Construction is the most active phase — here's what life looks like during your build:

  • Your Project Manager visits regularly and is always reachable
  • Progress photos are uploaded to your portal after each trade
  • Our team protects surrounding areas from dust and damage
  • You'll receive advance notice before any loud or disruptive work
  • Most clients do not need to move out for kitchen or bath remodels
Kitchen tip: We recommend setting up a temporary kitchen station (microwave, coffee maker, mini fridge) in another room during the active build phase.

Step 7

Punch List & Final Inspection

We walk through your completed space together and create a punch list of any final touch-ups or adjustments. Nothing is signed off until every detail meets our standard — and yours.

  • Detailed punch list walkthrough with your Project Manager
  • All punch list items completed before close-out
  • Professional project photos taken of finished space

A punch list is a final checklist of any remaining items that need to be completed or corrected before the project is officially closed. It's standard practice in professional construction and a sign of a contractor who takes quality seriously.

  • We walk through every room together with a checklist
  • You point out anything that doesn't look right — no matter how small
  • Our team returns to complete every item before final payment
  • You sign off only when you're fully satisfied
Our standard: We don't consider a project complete until you do.

Project Closing

The final chapter. We close out your project with a staff overview, collect the final payment, and invite you to share your experience. Your dream space is complete.

  • Final balance payment collected
  • Staff overview & care instructions for your new space
  • Client review — we'd love to hear about your experience

A note on timing: Timely approval of design, acceptance of contract, and receipt of deposit are crucial to maintaining accurate pricing and lead times. Our team will always keep you informed of any time-sensitive decisions throughout the process.

Questions Before You Get Started?

We've answered the ones we hear most often.

For a full kitchen remodel, expect your kitchen to be out of commission for approximately 6–8 weeks during the active construction phase. Bathrooms are typically 4–6 weeks. We'll give you a precise timeline before work begins, and your portal will always show the current schedule. We recommend setting up a temporary kitchen station in another room during this period.
Most clients do not need to move out. For kitchen and bathroom remodels, the rest of your home remains livable throughout the project. We take precautions to contain dust and protect surrounding areas. For very large whole-home renovations, we'll discuss options with you during the planning phase.
Changes after the design sign-off are possible but may affect your timeline and budget. Once products are ordered, changes can incur restocking fees or extended lead times. This is why we invest significant time in the Selections & Design Review phase — to make sure everything is exactly right before anything is ordered. We'd rather spend an extra hour in the showroom than cause a 4-week delay on your project.
That's exactly what our client portal is built for. Your portal is updated with progress photos after every significant trade milestone. You can also message your Project Manager directly through the portal at any time. You'll never be left wondering what's happening in your home.
The $1,000 retainer secures your spot on our project schedule and covers the design team's time for the Planning & Preparation phase — including your 3-hour selections meeting, 3D renderings, permit coordination, and project scheduling. It's applied toward your total project cost. It's not a fee — it's your reservation.
